Terms of Service
Last updated: September 12, 2026
1. What FlowPilot AI is
FlowPilot AI (“FlowPilot”, “we”, “us”) provides a software-as-a-service platform for capturing, managing and following up on sales leads. The service is delivered through our website and web application (the “Service”).
By creating an account or using the Service you agree to these Terms of Service, to our Privacy Policy and to our Cancellation & Refund Policy. If you do not agree, do not use the Service.
2. Your account and workspace
The Service may only be used through an account and the workspace associated with it. You must provide accurate account information and keep your sign-in credentials confidential. You are responsible for all activity that takes place under your account, and you agree to tell us promptly if you believe it has been accessed without your permission.
If you use the Service on behalf of a business or other organisation, you confirm that you have the authority to bind that organisation to these terms.
3. Subscription and billing
The Service is offered as a monthly subscription, currently priced at $29 USD per month. Your subscription renews automatically each billing period until it is cancelled.
Payments are processed by Stripe. We do not store your full card number. Applicable taxes may be added at checkout depending on your billing location. You are responsible for keeping a valid payment method on file; if a payment fails, we may suspend access to the Service until it is resolved.
4. Cancellation
You may cancel your subscription at any time through the Stripe Customer Portal. Cancellation takes effect at the end of the billing period you have already paid for, and you keep access until that date. The full details, including how refunds are handled, are set out in our Cancellation & Refund Policy.
5. Your content and your responsibilities
You retain ownership of the information you enter into the Service, including lead records, notes and any data submitted through your public intake forms (“Your Content”). You grant us the limited permission needed to host, process and display Your Content in order to provide the Service to you.
You are responsible for Your Content and for your use of the Service. In particular:
- You confirm that you have the right to collect and store the personal information you enter or receive through the Service.
- You are responsible for complying with the laws that apply to you, including data-protection, marketing and anti-spam laws, when you contact the people whose details you manage.
- You are responsible for the accuracy of Your Content and for keeping your own copies of anything you cannot afford to lose.
6. Acceptable use
You agree not to, and not to allow anyone else to:
- use the Service for any unlawful purpose or in breach of any applicable law;
- attempt to gain unauthorised access to the Service, to other customers’ workspaces or to the systems that support it;
- probe, scan, overload or interfere with the Service, or circumvent its rate limits and other protective measures;
- submit false, misleading or abusive content through the Service or through public intake forms;
- copy, resell, sublicense or reverse-engineer the Service, or use it to build a competing product;
- upload malicious code or content that infringes someone else’s rights.
7. Ownership of the Service
FlowPilot owns the Service, including its software, source code, design, documentation and trademarks. These terms give you a limited, non-exclusive, non-transferable right to access and use the Service for your own business purposes while your subscription is active. They do not transfer any ownership of the software or its code to you.
8. Availability and maintenance
We work to keep the Service available and reliable, and we carry out maintenance, updates and security fixes as needed. However, we do not promise uninterrupted or error-free operation. The Service may be temporarily unavailable because of planned maintenance, updates, or events outside our reasonable control, including failures of the third-party providers we rely on.
9. Suspension and termination
We may suspend or terminate your access to the Service, with or without notice depending on the severity of the situation, if we reasonably believe that your account is being used for abuse, fraud or unauthorised access, that you are in breach of these terms, or that continued access would put the Service or other customers at risk.
You may stop using the Service at any time by cancelling your subscription. On termination, your right to use the Service ends. Our Privacy Policy explains how we handle your data afterwards.
10. Changes to the Service and to these terms
The Service will evolve. We may add, change or remove features, and we may update these terms from time to time. When a change to these terms is material, we will give you reasonable notice, for example by email or through the Service, before it takes effect. The “Last updated” date at the top of this page shows when the current version was published. Continuing to use the Service after a change takes effect means you accept the updated terms.
11. Disclaimers
The Service is provided “as is” and “as available”. To the extent permitted by applicable law, we do not make warranties, whether express or implied, about the Service, including warranties of merchantability, fitness for a particular purpose, or that it will meet your specific requirements. Any AI-assisted suggestions or recommendations shown in the Service are informational only; decisions about your leads and your business remain yours.
12. Limitation of liability
To the extent permitted by applicable law, we are not liable for indirect, incidental, special or consequential losses, including lost profits, lost business or lost data, arising from your use of or inability to use the Service. To the same extent, our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the twelve months before the event giving rise to the claim.
Nothing in these terms limits or excludes liability that cannot be limited or excluded under the law that applies to you.
13. General
These terms, together with the Privacy Policy and the Cancellation & Refund Policy, are the complete agreement between you and FlowPilot about the Service. If any part of these terms is found to be unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver of it. You may not transfer your rights under these terms without our consent.
